How to set up business email on your own domain

An address like you@yourcompany.com earns more trust than a free webmail account, and it stays yours if you change providers. This guide covers the whole path: what you need, the DNS records and how to switch without losing mail.

What you need

A registered domain, for example at GoDaddy, Namecheap, Hostinger or Cloudflare, and access to its DNS settings.

A service that receives and sends email for your domain. In MepMail that is Mail: mailboxes on your domain, with no server to install or maintain.

Step by step

  1. Create your MepMail account and add your domain in the dashboard.
  2. Publish the DNS records the dashboard shows: a DKIM TXT (mepmail._domainkey), the MX and SPF of the bounce subdomain and, to receive, the domain's MX. If your DNS is on Cloudflare, MepMail can create the records with a DNS-only token, without overwriting existing ones.
  3. Wait for verification. The dashboard checks each record live and shows what is missing; it usually takes minutes to a few hours.
  4. Create the mailboxes: one per person or for an AI agent. Plans go from 1 to 10 mailboxes.
  5. Once the MX points to MepMail, turn receiving on in Mail → Receiving. The dashboard checks the MX before it switches on.
  6. Read and reply in the browser or in the MepMail app for Windows and Linux.

Already on another provider? Switch without losing mail

First create every mailbox and alias the domain receives, and only then change the MX. That way no message is left without a destination during the switch.

Then bring the old account's history over: Mail imports your messages over IMAP.

What it costs

In MepMail, Mail starts at US$ 2.90 a month on the Solo plan, with 1 mailbox. Duo has 3 mailboxes for US$ 5.90 and Equipe has 10 for US$ 12.90.

Your first purchase starts with 7 days free (a card is required), and nothing is charged beyond the plan.

What about AI agents?

A mailbox can belong to a person or to an agent. The agent reads and drafts over MCP or the API, only with the permissions you grant, and sending can wait for your approval.

Frequently asked questions

Do I need a mail server?

No. MepMail receives, stores and sends for you; on your side there are only the domain's DNS records.

How long does it take to work?

Records usually apply within minutes; some DNS providers take a few hours. The dashboard shows each record's status meanwhile.

Will I lose email when I switch providers?

Not if you create the mailboxes before pointing the MX. Messages already at the old provider can be imported over IMAP.

Does it work on my phone?

Yes, in the browser. The installed app is for Windows and Linux.
